Alzheimer’s Research UK (registered charity numbers 1077089 and SC042474) is a dementia research charity dedicated to causes, diagnosis, prevention, treatment and cure. The Alzheimer’s Research UK Clinical Conference 2023 (“the Conference”) will feature the latest developments in dementia research and explore how they translate into meaningful outcomes for patients. The Conference is open to professionals across clinical and academic fields (the “Attendees”).

1. Registration

1.1. The Conference will be held over one day and Attendees are able to register for attendance at all or part of the Conference.
1.2. Registration may be made for attendance at the Conference either in person or virtually.
1.3. Alzheimer’s Research UK (“ARUK”) will accept registrations for the Conference until 10 November 2023 or until all places have been filled, whichever occurs first.
1.4. Those who wish to attend the Conference must provide their details, including, but not limited to their name, email address, and any other details reasonably required for the Conference (hereafter referred to as ‘Personal Information’) as part of the registration process. Personal Information will be held in accordance with ARUK’s privacy policy, as detailed under section 6. Each Attendee is responsible for ensuring that such Personal Information is correct and up to date.
1.5. Only Attendees who have registered will be eligible to attend the Conference. Once an Attendee’s ticket has been confirmed, the ticket cannot be transferred or re-sold. If, after registering, an Attendee can no longer attend the Conference, the Attendee should inform ARUK as soon as possible by sending an email to clinicalconference@alzheimersresearchuk.org. Refunds, where available, are further detailed below under section 7.
1.6. Attendee passes issued for use at the Conference are valid for the named Attendee only.
1.7. All registrations for the Conference are made subject to these Terms and Conditions (the “Terms”) (which shall apply to the exclusion of any other terms).

2. Attendee responsibilities

2.1. Attendees must behave responsibly and appropriately at the Conference. ARUK reserves the right to refuse entry to the Conference or remove from the Conference any Attendee who, in its sole opinion, is: (i) drunk; (ii) disorderly; (iii) has, or is likely to affect the safety of other Attendees; (iv) uses threatening, abusive or insulting words or behaviour; (v) behaves in a manner which may be offensive to others (including online abuse or offensive behaviour); (vi) fails to produce proof of identity or age when reasonably requested; (vii) or for any other reason whatsoever.
2.2. For Conference events involving alcohol, you agree that you are legally old enough to drink alcohol. You agree that you will consume any alcohol responsibly.
2.3. You acknowledge that it is your responsibility to adhere to a reasonable standard of health and safety and to maintain a reasonable standard of safe behaviour during the Conference.
3. ARUK's responsibilities
3.1. ARUK shall comply with all applicable laws in connection with the organisation and staging of the Conference and those laws relating to health and safety.

4. Payment

4.1. Conference registration fees are subject to VAT which will be charged at the prescribed rate.
4.2. All invoices (whether in respect of the Conference registration fees or otherwise) must be paid within 30 days upon receipt or by 10 November 2023, whichever is the earlier.
4.3. For payments made by bank transfer or cheque, the invoice number must be quoted as a reference.
4.4. For payments made by institutions on behalf of individual Attendees, the relevant institution is responsible for notifying ARUK that payment has been made.
4.5. ARUK reserves the right to cancel any Attendee’s booking at any time if payment is not received in accordance with paragraph 4.2 above.
4.6 Only one discount code can be used per order, per person. We reserve the right to end any promotional discount codes at any time.
4.7. Subject to paragraph 7 below, no refunds will be given in the event of non-attendance or if the Attendee is refused entry to or removed from the Conference in accordance with paragraphs 2.1 and 2.4 above.

5. Photography & Filming

5.1. The Conference talks will be filmed and played via livestream to our online audience and there may be professional photography, for promotional purposes, taking place during the Conference. Attendees who do not wish to be photographed or filmed should advise ARUK by emailing clinicalconference@alzheimersresearchuk.org at least 48 hours prior to the Conference.
5.2. Unless you have notified ARUK in accordance with clause 5.1 above, by attending the Conference you acknowledge and agree to grant ARUK the right at the Conference to record, film, photograph or capture your likeness in any media now available and hereafter developed and to distribute, broadcast, use or otherwise globally to disseminate, in perpetuity, such media without any further approval from you or any payment to you. This grant to ARUK includes, but is not limited to, the right to edit such media, the right to use the media alone or together with other information, and the right to allow others to use and/or disseminate the media.

6. Data Protection

The contact details of registered Attendees will be held by ARUK in accordance with ARUK’s privacy policy, details of which may be found on our website: www.alzheimersresearchuk.org/privacy-notice.

7. Alterations, Cancellations and Refunds

7.1. ARUK reserves the right, at any time and for any reason, to make alterations or cancellations to the Conference programme, speakers, venue, date and timings.
7.2. Subject to paragraph 7.4 below, in the event that it is necessary for ARUK, for any reason, to postpone the Conference or change the dates of the Conference, the Attendee’s registration shall remain in force and will be subject to the refund policy set out in this paragraph 7. ARUK shall not be liable for any loss, damage, costs or expenses incurred by Attendees (including but not limited to any wasted costs and expenses, travel, accommodation or other fees), howsoever arising, whether direct or indirect.
7.3. Subject to paragraph 7.4 below:
a. Cancellation requests received up to six weeks before the Conference will receive a full refund of any registration fee paid, minus the administration fee (see 7.5).
b. Cancellation requests received between four and six weeks before the Conference will receive a 50% refund of any registration fee paid, minus the administration fee.
c. Cancellation requests received less than four weeks before the Conference will not be eligible for any refund.
d. Requests to transfer from an in-person to an online ticket must be made in writing by sending an email to clinicalconference@alzheimersresearchuk.org. The cost difference between ticket types will be refunded subject to the cancellation and refund rules set out in this paragraph 7.3
7.4. If ARUK is unable to hold the conference due to an event outside of its control, which means that attendance in person is no longer possible, then ARUK reserves the right to re-arrange it so that it is held entirely virtually:
a. ARUK will notify all Attendees that their registrations will be converted to virtual registrations and will continue in force unless a cancellation request is received by ARUK from the Attendee within 14 days’ of such notification;
b. Any cancellation request received within the time period specified in sub-paragraph a. above will receive a full refund;
c. Any cancellation request received after the expiration of the time period specified in sub-paragraph a. above will be subject to the refund policy set out in this paragraph 7.
7.5. All cancellations and refund requests must be made in writing, by sending an email to clinicalconference@alzheimersresearchuk.org. Any refunds will incur a £15.00 administration fee.

8. Force Majeure – Events Outside Our Control

8.1. ARUK shall not be in breach of these Terms nor be liable for any delay in performing or failure to perform its obligations under these Terms, howsoever arising, whether direct or indirect, if such delay or failure results from events, circumstances or causes beyond ARUK’s reasonable control including, without limitation, acts of God, floods, lightening, storm, fire, explosion, war, military operations, acts of terrorism or threats of any such acts, strike action, lock-outs or other industrial action, any period of national mourning, public disaster, civil disturbance, riot, a pandemic, epidemic or other widespread illness (including COVID-19), and/or any withdrawal of the venue or labour dispute of any kind which interferes with the working of the Conference or affects transport or accommodation facilities available to the Conference Attendees.
8.2. In such circumstances, ARUK shall be entitled to a reasonable extension of time for performing its obligations under these Terms. If the period of delay or non-performance continues for 45 days or more, ARUK may terminate these Terms at its sole discretion by giving written notice to the Attendee.

9. Limitation of Liability

9.1. Subject to clauses 9.2 and 9.3 below, any liability that ARUK may have to an Attendee pursuant to contract, tort (including negligence) or otherwise, for any damages, loss, costs, claims or expenses of any kind howsoever arising, whether arising out of or in connection with any registration (or request for registration) made by the Attendee or on their behalf in relation to the Event, shall be limited to the total registration fee paid by the Attendee.
9.2. In no event shall ARUK be liable for any claims, penalties, loss, damage, or expenses however arising, out of or in connection with the Conference, including, without limitation, direct or indirect loss, consequential loss or damage arising out of attending the Conference.
9.3. Nothing in these Terms shall exclude or limit our liability for death or personal injury caused by negligence or for any liability which cannot be excluded or limited under the law.

10. Content

The presentations, documents and materials published or otherwise given or made available as part of the Conference do not necessarily reflect the views or opinions of ARUK. Whilst ARUK takes reasonable care to ensure that the content created by it is accurate and complete, Attendees should verify the accuracy of any information supplied as part of or in connection with the Conference (whether provided by ARUK, any speakers at the Conference or by third parties) before relying on it.

11. Severability

Each of the paragraphs and sub-paragraphs of these Terms operates separately. If any Court or relevant authority decides that any of them are unlawful, the remaining paragraphs and sub-paragraphs will remain in full force and effect.

12. Entire Agreement

These Terms contain the entire agreement between ARUK and Attendees, replacing all previous agreements in respect of the Conference. Attendees agree that they have not relied upon any pre-contractual statement made by ARUK in entering into these Terms. In this context, pre-contractual statement means any undertaking, promise, assurance, statement, representation, warranty or understanding (whether in writing or not) of any person relating to the Conference (other than as set out in these Terms).

13. Governing Law and Jurisdiction

These Terms are governed by the law of England and Wales, and any disputes (contractual or non-contractual) are subject to the exclusive jurisdiction of the courts of England and Wales.
